Admin Staff

Job Description:

Provide administrative support in the day-to-day operations of the business. Must have outstanding communication, multitasking and organizational abilities and is able to effectively prioritize and complete assignments in a timely manner.

Responsibilities:

  • Perform basic bookkeeping, record keeping, and data encoding duties in coordination with respective Supervisors, Manager or Task Owners (e.g., sales report, inventory report, purchasing records, etc.)

  • Assist Manager in performing payroll accounting and processing based on company policies including:

    • Calculations, deductions, and withholding

    • Processing of loans and claims (SSS/HDMF)

    • Monthly payment and posting of government mandated benefits (SSS/PHIC/HDMF)

    • Monitoring employee attendance and time sheet (e.g., tardiness, leaves, OTs, etc.)

    • Timely issuance of pay slips

    • Response to employee payroll inquiries

  • Update employee database and monitor employee attendance, benefits, and notice/s of disciplinary action

  • Monitor documents for transaction with government offices (SSS/PHIC/HDMF/BIR)

  • Prepare weekly transmittal of accounts payable and vendor payments

  • Manage online customer inquiries

  • Process in-house delivery arrangements of customer orders

  • Monitor use of office equipment and materials (e.g., computers, printers, phones, physical files, etc.), report any problems and help resolve issues, if possible

  • Maintain and re-stock office supplies and marketing collaterals as needed

  • Ensure cleanliness and proper sanitation of work area before and after shift

  • Carry out other duties and responsibilities as may be assigned from time to time

Qualifications:

  • Candidate must possess at least a Bachelor's/College Degree, any field

  • Proficient in MS Office (e.g., Word, Excel, PowerPoint) and Google Apps

  • With good verbal and written communication skills and exceptional interpersonal skills

  • Resourceful, detail-oriented, and willing to learn

  • Fresh graduate or with at least one-year of full-time related work experience obtained in a similar setting
